Essential facilities to have in modern offices

A modern office is usually a hive of activity. Machines buzzing and beeping, people in conversation and productivity levels through the roof. But what if you’re not a big business with hundreds of staff? What do you need to equip your office in order to achieve great things? As one of the leading commercial fit-out companies in the South of England we regularly get asked for advice on what equipment to fill an office space with.

So, we have put together a list of a few office essentials to ensure your office is well-equipped, efficient and user friendly.

Superfast Internet, Wi-Fi and Servers

Make sure you invest in the best connectivity technology and network infrastructure available. With cloud computing and remote working you can have a minimalist workspace which still has all the functionality of a desk full of devices. Lose clunky IT paraphernalia in favour of slim line computer boxes and wireless communications technology.

Make sure that a Wi-Fi network is freely available to staff, guests and visitors – this is an expectation of anyone coming to your office so make sure it’s easy to connect to.


Eventually, all paper documents will be digitised. So while this may sound like a bit of a wildcard, having a decent scanner will benefit you in the long run. If you are converting the paper documents you might also need to invest in a shredder so that you can destroy confidential data responsibly. Beware, shredders can be noisy and paper dust can be considered a health hazard so use sparingly and away from other members of staff. There are companies who will come to your office, digitise your documents and dispose of any confidential material.

Recycling bins

Until everything is digital and all plastic packaging is abolished we will still need recycling bins. It sends a clear message to staff, guests and visitors that your business is environmentally conscious but also you will be shocked at how much general waste is generated by an office – it is important to support the environment and dispose of your recyclable waste responsibly.

Marker Boards

It’s not all about the latest technology. Marker boards have been used for decades to communicate ideas in meetings and detail ideas for the business. They are inexpensive and can be a really valuable tool for your team to use. They can be used as calendars for sales teams or workflow charts for project management teams. They are versatile and discreet and can be used on an easel or installed on office walls.

Natural Light

You might have trouble controlling this, but large windows flood the space with natural light. It will give your office a feeling of space and views, not matter what they are will help to inspire your employees. If you can’t provide natural light, make sure that the lighting fixtures are modern and good quality – poor lighting can be detrimental to your health and the productivity levels of your staff.

Fresh Air and Refreshments

Health is becoming one of the cornerstones of modern business. Making sure that your employees are happy and healthy is beneficial to all concerned. So make sure there is plenty of fresh air and ventilation available. Again if this is difficult due to a lack of opening windows, make sure that your HVAC system is well maintained and efficient.

You will also need to ensure that there is plenty of drinkable water and if you can try and supply fresh fruit and healthy snacks. Happy and healthy employees are usually loyal and productive.

Good Chairs

A modern office can be very a minimalist workspace – most of your software and operating documents will be stored on the cloud and so clutter is almost unnecessary. What is important though, is good quality furniture – the king of which is the much revered, office chair. If you are working in an office, the chances are you are sitting down for long periods of time, which isn’t particularly healthy (see our blog) but is necessary. So make sure the chairs you choose are comfortable, supportive, customisable and hard wearing.
